Portal Folders & File Management
Organize and manage documents, files, and attachments in the portal
Overview
The Portal Folders section provides a centralized file management system for organizing documents, attachments, and other files related to your company. This feature allows you to create folder structures, upload files, manage permissions, and organize content for easy access by team members.
Understanding Folder Structure
The portal uses a hierarchical folder structure similar to a traditional file system:
Root Folder
The main portal directory. All other folders are created within this structure.
Main Folders
Top-level folders for major categories (e.g., Contracts, HR Documents, Financial Reports, Marketing Materials).
Subfolders
Nested folders within main folders for better organization (e.g., Contracts → Client Agreements → 2024).
Files
Documents, PDFs, images, and other file types stored within folders.
Creating Folders
To create a new folder in the portal:
- 1Navigate to the Portal Folders section from the menu.
- 2Click + New Folder or right-click in the empty area to access the context menu.
- 3Enter a descriptive folder name (e.g., "Client Contracts", "2024 Financial Reports").
- 4Click Create to save the folder.
Uploading Files
To upload documents and files to a folder:
Select a Folder
Click on the folder where you want to upload the file.
Click Upload or Drag & Drop
Click the Upload File button or drag files directly into the folder area.
Select Files
Choose one or multiple files from your computer. Supported formats: PDF, DOC, DOCX, XLS, XLSX, PPT, PPTX, JPG, PNG, ZIP, etc.
Upload Progress
The system will display an upload progress indicator. Once complete, the file will appear in the folder.
Managing Files
Once files are uploaded, you can perform various management operations:
Rename Files
Right-click on a file and select Rename to change its name. Keep names descriptive and meaningful.
Copy Files
Copy files to different folders using the Copy option. This is useful when you need the same document in multiple locations.
Move Files
Move files to different folders using the Move option. This transfers the file from one location to another.
Download Files
Right-click on a file and select Download to save it to your local computer.
Delete Files
Remove files by right-clicking and selecting Delete. Use caution as this action may be permanent.
Managing Folder Permissions
Control who can access, view, and modify folders and files:
Set Folder Permissions
Right-click on a folder and select "Permissions" to configure access controls.
User Access Levels
View Only: Users can read files but not modify them. Edit: Users can modify files. Admin: Users can manage permissions and delete files.
Add Users/Groups
Specify which users or teams can access the folder and set their permission level.
Inherit Permissions
Subfolders automatically inherit permissions from their parent folder unless specifically configured otherwise.
Searching and Browsing Files
Find files quickly using the portal's search and navigation features:
Search Function
Use the search bar at the top to find files by name, type, or date. The search covers all accessible folders.
Browse Folders
Click through the folder structure to navigate and find files. Use the breadcrumb trail at the top to track your location.
Favorite Files
Mark frequently used files or folders as favorites for quick access from the sidebar.
Best Practices for Portal Organization
- Organized Structure: Create a logical folder hierarchy that makes sense for your organization.
- Descriptive Names: Use clear, meaningful names for folders and files to improve discoverability.
- Regular Cleanup: Periodically delete outdated files and archive old documents.
- Version Control: For important documents, use version numbers in filenames (e.g., Contract_v1, Contract_v2).
- Permission Management: Regularly review folder permissions to ensure appropriate access controls.
